April 6, 2025 at 3:33 pmI work as a fulltime employee for an International Development Organisation with an office in India. Was selected in a global cohort of researchers where an independent research study will be supported by the employer.
In the official contract apart from my salary, a separate reimbursable allowance has been set aside for this purpose. This does not appear in my salary slip.
I can request for desired amount as and when I require it, to make payments related to the project activities and travel. Payment will be made using my bank account. I was not disclosed this at the time of appointment, so all of it feels very tricky and unclear to me. I want to safeguard myself.1. I want to apply for a research ethics certification for the study. The third party organisation conducting this has said that they will issue me a donation certificate instead of a GST invoice since the payment will be made from my bank account. Employer wants a GST invoice for this as proof. Third party org says no transfer from your bank account in that case.
2. If I involve freelancers in this project (data collectors, translators, research assistants etc) – will I face issues if I make payments to them from my bank account? Would I also need GST invoice from them? Am I even allowed to make these payments?
Apart from this, what are the issues I must be careful of from a legal perspective while using these funds? I have no intention of overstepping current legal boundaries.
If possible please also quote the exact clauses so I can write to my employer because this seems like a very tricky situation I am facing.
